Manage products

1. Set up units

Open Units and add the units you sell in, such as piece, box and carton. Every product needs at least one active unit.

2. Create categories and set their tax

  1. Open Products, then the Categories tab.
  2. Click Add category, enter the Category code and name, and choose a Parent category if it is a sub-category.
  3. Under Tax, choose the treatment: Standard, Reduced, Zero-rated or Exempt, as your country pack allows.
  4. Click Create category.

3. Add a product

  1. In the Products tab, click Add product.
  2. Product details: name, short name, category, and an optional image (PNG, JPG or WebP, up to 2 MB).
  3. Codes & barcode: product code, primary barcode, and extra scannable codes.
  4. Units & packaging: the default unit; the stock, sales, return and free units; and packaging units with the number of base units in each (for example, carton = 24 base units).
  5. Settings: status, expiry tracking, and the warehouse and van alert thresholds.
  6. Click Create product.

4. Set the prices

A product carries no price itself. Prices come from Price Lists:

  1. Open Price Lists → Add price list, and enter a name and, optionally, effective dates.
  2. Add the list's items: product, unit and price, with an optional discount %.
  3. Link the list to customers from the customer page or with the bulk action in Customers.

If the product has no price in the chosen unit on the customer's list, the invoice is refused.

Importing from Excel

From Products → Import, download the template, fill it in and upload it (up to 1000 rows). Import only adds new products; a row whose code already exists is rejected. This feature depends on your plan.
