Load stock
The idea
Stock moves from the warehouse to the van through a Loading transaction that the rep records in the app. A rep can only sell what is on their van.
Before loading
- The stock must exist in the warehouse. The office records it from Goods receipts → Record a receipt.
- The rep must be linked to a van, from Sales Reps or Vans.
- The rep must have today's journey open; stock movements cannot be recorded without it.
Loading steps in the app
- Open Inventory from the bar at the bottom of the main screen.
- Tap + New movement and choose Loading.
- Choose the warehouse under From warehouse.
- Add the items: product, unit and quantity, and an expiry date if needed. You can also scan a barcode to pick the product once the warehouse is chosen.
- Tap Continue to open the Loading preview. You can delete a line there; to change one, tap Edit to go back to the form.
- Tap Save movement. The movement is saved on the phone and uploaded as soon as there is a connection.
What happens after upload?
- If the warehouse balance is enough, it is deducted from the warehouse and added to the van.
- If it is not enough, the whole loading is rejected and no stock moves. The rep gets a "Loading rejected" notification and can send a new loading once stock is available.
On the office side
- Every loading, unloading, stocktake and receiving appears in Van transactions with its status: Approved, Rejected or Cancelled.
- Each van's current stock is under Vans → (van) → Current Stock, or Inventory → Van Stock.
At the end of the day
The rep returns what is left to the warehouse with an Unloading movement, marking each quantity as Good or Damaged.
